The Role and Responsibilities of the Society Committee:

Ensuring the Smooth Operation of the Society - To ensure the efficient and effective functioning of the Society, a dedicated committee is established. This committee is composed of a Chairperson, Treasurer, Secretary, and several general members. Together, they form the backbone of the Society, managing its affairs and driving its activities forward.

Election of Committee Members - Committee members are elected on an annual basis during the Annual General Meeting (AGM). This democratic process ensures that all Society members have the opportunity to shape its leadership and contribute to its direction.

Collaboration and Volunteering - While the Committee undertakes the majority of the tasks associated with organising and running meetings, they are supported by a small group of catering volunteers who play an essential role in ensuring the success of events. Additionally, the Committee relies on the collective efforts of all Society members, who contribute through their support, participation, and adherence to membership responsibilities. Member ideas and feedback are always encouraged and welcomed, as they are vital to the growth and improvement of the Society.

Frequency of Committee Meetings - The Committee convenes approximately five times a year. These meetings serve as a platform for discussing, reviewing, and making decisions on key matters related to the Society. The structured approach ensures that the Society remains on course and that all essential tasks are addressed in a timely manner.

Key Responsibilities of the Committee - During these meetings, the Committee focuses on a wide range of topics that are integral to the smooth functioning of the Society. These include, but are not limited to:
•    Planning and organising meetings, events, and activities for members.
•    Managing the Society's finances, including budgeting, fundraising, and expenditure oversight.
•    Reviewing membership engagement and ensuring all members feel valued and included.
•    Discussing feedback and suggestions from members to enhance the Society’s operations.
•    Addressing logistical and operational challenges to improve efficiency.
•    Ensuring compliance with any relevant regulations or guidelines applicable to the Society.

The Wine Sub Group (The Red Team) - ensures the best possible selection of presenters and quality of wine for our tastings. This is achieved through regular meetings of committee members and expert members to discuss the tasting schedule, visit potential vendors, and pre-taste wines.

​Encouraging Member Participation - A key principle of the Society is inclusivity. All members are encouraged to share their ideas, provide feedback, and actively participate in its activities. This collaborative atmosphere strengthens the Society and fosters a sense of community among its members.

Conclusion - The Committee, supported by catering volunteers and the broader membership, plays an essential role in the Society’s success. Through regular meetings and collaborative efforts, they ensure that the Society operates smoothly, remains financially sound, and continues to offer valuable experiences for all its members. Whether through leadership, volunteering, or contributing ideas, every member is an integral part of the Society’s journey towards growth and achievement.

Taking delivery of members' wine orders;
Liaising with Darley Abbey Community Association;
Licensing matters for events;

Organising Xmas Party.

Society Communications
Maintaining DDWS Website; Sending members a monthly email;
Club publicity.
Managing the Finances
Balancing the books;
Banking the cash;
Paying the speakers;
Proposing Membership fees;
Setting Meeting fees;
Paying for hall hire.
Catering for Events
Purchasing and preparing cold buffet and snacks for confirmed numbers at events;
Deciding upon themed buffets;
Managing Costco subscription.
Setting Up Events
Assisting speakers with their presentation set-up;
Putting out tables and chairs;
Water jugs and snacks;
Laying out cold buffet;
Taking the fees.
